Personal Information Protection Policy

Cast Supply Edmonton Inc. (“Cast Supply”) recognizes the importance of protecting the privacy and confidentiality of our customers and those with who we conduct business.  We strive to protect and respect the personal information of our customers, employees and business partners in accordance with all applicable regional and federal laws.

Our policy is modeled in accordance with the requirements outlined by Alberta’s Personal Information Protection Act (PIPA) as well as the federal Personal Information Protection and Electronic Documents Act (PIPEDA).

This policy applies to Cast Supply as well as any person providing services on our behalf, and outlines our practices regarding the collection, use and disclosure of any personal information we collect.  Each employee of Cast Supply must abide by our policies and procedures when handling personal information within our possession and control.

Collection and Use of Personal Information 

Personal information means information about an identifiable individual or group of individuals (referred to as “you” or “your” in this policy). Examples include:

  1. Your name, home address and phone/fax numbers and personal email address
  2. Age, sex, marital or family status
  3. Identifying numbers such as a driver’s license or social insurance number
  4. Educational, employment or financial history, such as current and/or prior places of employment, bank and credit card numbers, and credit reports
  5. Opinions and personal views

 

Personal information will be collected, used and disclosed only as reasonably required for the purposes of establishing or maintaining your relationship with Cast Supply. In connection with the operation of our business, we collect only the personal information we need for the purposes of providing services to our customers, including information needed to:

  1. Open or manage an account
  2. Grant credit
  3. Invoice customers, process credit card payments and collect accounts
  4. Deliver requested products and services
  5. Follow up with customers to determine satisfaction with products and services
  6. Notify customers of information about promotions or special offers which may be of interest
  7. Respond to specific questions or concerns
  8. Maintain a customer contact database
  9. Comply with applicable law and regulatory requirements, such as tax law requirements
  10. For any other use authorized or permitted by law

 

Business information is a sub-set of personal information. It includes an individual’s name and position or title, business telephone number, business address, business e-mail, business fax number and other business contact information. This information can be disclosed without consent to allow an organization to contact an individual as a representative of their organization.  It can only be disclosed without consent in relation to work matters.
We normally collect information directly from you, however we may collect your information from other persons with your consent or as authorized by law. 

The extent and type of personal information collected about an individual depends on the nature of their business dealings with us.  We will inform you, either prior to or during the collection of personal information of the purpose for which we are collecting the information.  During instances when an individual volunteers information, such as providing a credit card to complete a sale, we will not provide this notification. 

Consent 

We ask for consent to collect, use of disclose personal information, except in specific circumstances where the collection, use or disclosure without consent is authorized or required by law.  We may assume your consent in situations where you volunteer information for an obvious purpose, as in the instance described above.  We may collect, use or disclose your personal information without your consent only as authorized by law.  Examples of this include:

  1. In a situation where it is clearly in the best interest of an individual and his/her consent cannot be obtained in a timely way, such as an emergency that threatens life, health or safety
  2. Disclosure for the purpose of collecting an outstanding debt owed to us
  3. An investigation of a breach of agreement or contravention of law
  4. Disclosure to our legal council
  5. Collection, use or disclosure where required or permitted by court order to do so
  6. Personal information is from a public telephone directory

 

We ask for your express consent for some purposes and may not be able to provide certain services if you are unwilling to provide consent to the collection, use or disclosure of your personal information.  Where express consent is required, we normally ask individuals to provide their consent in writing.  An example includes having customers complete our credit application form when requesting the set up of a credit account.  In some instances we will accept verbal consent.

Consent to the use and disclosure of personal information may be withdrawn at any time, unless the personal information is necessary for us to fulfill our legal obligations.  If we wish to use or disclose your personal information for any new business purpose, we will ask for your consent.

If you refuse consent on our collection, use or disclosure of your personal information, we may not be able to provide you with requested products or services, as the majority of personal information collected is necessary to provide these products or services.

Accuracy, Access and Retention

We make every reasonable effort to ensure that the personal information we have collected is accurate and complete.  We rely on you to notify us of any changes to your personal information that may affect your relationship with our organization, such as a change of address or contact phone numbers.  If you are aware of an error in our information about you, please let us know and we will correct it wherever possible.

Individuals with a business relationship with Cast Supply have a right to access their own personal information in a record that is in our custody or under our control, subject to some exceptions.  We are required by the PIPA act to refuse access to information that would reveal information about another individual and we may refuse access to personal information if disclosure would reveal confidential business information.  Access may also be refused if the information is privileged or contained in medical records.  There are other instances in which access may also be denied.

If we refuse a request in whole or in part, we will provide the reasons for the refusal.  In some cases where exceptions to access apply, we may withhold that information and provide you with the remainder of the record.

You may make a request for access to your personal information by submitting a written request to our office.  You must provide sufficient information in your request to allow us to identify the information you are seeking.

You may also request information about our use of your personal information and any disclosure of that information to persons outside our organization.  Depending upon the volume of personal information requested we may charge a reasonable fee to provide the same.  We will advise of any fees prior to processing your request.

Your Information Protected

Cast Supply is committed to protecting your personal information in a manner appropriate for the sensitivity of the information.  We have physical, technological and administrative measures in place to prevent any loss, misuse, disclosure or modification to personal information, as well as any unauthorized access to personal information.  Confidential personal information is kept in a secured location, and data contained in our software system is protected with restricted access.  These restrictions are based on a “need to know” basis for employee access to personal information.

Website

Individuals may visit our website at www.castsupply.ca without disclosing any personal information.  Cast Supply does not currently collect information through our website that personally identifies individuals except when that information is provided voluntarily through email or otherwise.  In such cases, we may collect, use and store such information in the same method we do with other forms of correspondence.

While using our website, you may be directed to other third party websites we mention, through links available on our website pages.  These third party sites are beyond our control, we are not responsible for their content or the privacy practices, policies, security measures or other actions taken by them.
